Job Summary

This position is responsible for providing administrative support and assistance to the Ensemble Executive Team.

Essential Functions & Responsibilities:

  • Greet visitors at the reception desk.
  • Scheduling and coordinating meetings, teleconferences, and travel.
  • Compile agenda and distribute supporting meeting materials.
  • Check meeting room for correct setup.
  • Coordinate arrangements, including video conferencing equipment, audiovisuals and refreshments.
  • Prepare notification of meetings, i.e., dates, times and locations.
  • Receive and note administrative assignments.
  • Follow-up to assure timely project completion.
  • Exhibit necessary computer skills for specific position (i.e. Power Point, Word, Excel).
  • Create new and/or edit existing presentations (i.e. PowerPoint or other presentations).
  • Manage multi-line telephone system.
  • Prepare expense reports.
  • Exhibit problem solving skills.
  • Take initiative without directions.
  • Manage incoming/outgoing mail/correspondence.
  • Maintain proper office coverage.
  • Maintain proper documents and files.
  • Communicate effectively with all levels of management/employees.
  • Compose and produce routine correspondence as well as professional documents.
  • Process expenses.
  • Maintains schedule on Outlook.
  • Registers management for appropriate seminars.
  • Demonstrates ability to work under pressure.
  • Handles multiple project concurrently.
  • Demonstrates flexibility.

Knowledge, Skills & Experience Required:

  • 2-5 years administrative experience.
  • Excellent computer skills and aptitude.
  • Demonstrate ability to organize data and manage projects without supervision.
  • Detail-oriented.
  • Customer service orientation.
  • Knowledge of videoconferencing.
  • Demonstrate being an active team player.

Shift and Job Schedule

Full-time, 40 hours per week, days, 8:00 a.m. to 5:00 p.m.
